GMAIL is CRAZY FULL - no more space?

 


You can export all your emails, save them to a computer or external hard drive, and then clear out your inbox to free up storage.

Google provides an official tool called Google Takeout that creates a complete archive of your Gmail data.

Step 1: Export Your Emails with Google Takeout

  1. Go to takeout.google.com and log into your account.

  2. Click Deselect all near the top of the page (so you don't export unnecessary account data).

  3. Scroll down to Mail and check the box next to it.

    • Optional: You can click "All Mail data included" to select specific labels if you don't want everything.

  4. Scroll to the bottom and click Next step.

  5. Keep the default settings (Destination: Send download link via email | Frequency: Export once | File type: .zip).

  6. Click Create export.

Note: Google will take anywhere from a few hours to a day or two to prepare your file, depending on the size of your inbox. You will receive an email with a download link once it's complete. Download that .zip file to your computer or an external hard drive right away (the download link expires after 7 days).

Step 2: Clear Out Storage in Gmail

Once your export is safely saved on your local drive, you can mass-delete emails to clear space.

Quick Bulk-Delete Strategy

  1. In the Gmail search bar, search for has:attachment or larger:10M to quickly find and delete emails with large files that take up the most space.

  2. To delete everything in your inbox:

    • Go to All Mail on the left menu.

    • Click the top-left Select All checkbox above your email list.

    • Look for the banner text that appears above the list saying "Select all X,XXX conversations in All Mail" and click it.

    • Click the Trash icon.

  3. Go to Trash in the left sidebar and click Empty Trash now (emails in the trash continue to count against your storage limit until permanently purged).

Step 3: How to View Archived Emails Later

The exported emails will be in standard .mbox files inside your downloaded ZIP folder. If you ever need to search or read old emails offline:

  • You can open .mbox files using free desktop email apps like Mozilla Thunderbird or Apple Mail.

  • You can also use free offline MBOX viewer utilities if you ever need to retrieve a specific message.
